How does this Excel file comparison work?
VCFConverter compares one selected worksheet from file A with one from file B, maps the columns, and reports added, removed, changed, and unchanged records. Match rows automatically, by a unique key, or by position. Use it to check customer exports, order revisions, or inventory changes between two versions.
- Input and direction
- Two XLSX or XLS files, with one worksheet and header row selected in each. A is the old version; B is the new version.
- Output
- An XLSX with Summary, Column Changes, Added, Removed, Changed, Changed Details, Unmatched A/B, and Redline Preview. Unchanged rows are optional.
- Price and privacy
- Free with no account or installation. Workbook contents are processed in your browser and are not uploaded to a server.
- What is compared
- Values and types in enabled mapped columns, plus formula expressions by default. This is a data comparison, not a visual comparison of workbook layout.
Choose a row matching mode
| Mode | How it matches rows | When to use it |
|---|---|---|
| Automatic alignment (default) | Uses equal rows and shared field values to align records without an ID. Ambiguous matches need review. | Similar exports with inserted/deleted rows and no stable unique key. |
| Key columns | Matches one or more mapped key columns. Nonempty keys must be unique on each side. | Records with a stable customer ID, order number, or composite key, even after reordering. |
| Row position | Pairs the first data row in A with the first in B, and so on. | Sheets whose row order is unchanged. An inserted row can cause many later differences. |
Example: compare inventory by product ID
Illustrative data using Product ID as a unique key. A is the previous export and B is the updated export.
| Product ID | Quantity in A | Quantity in B | Report category |
|---|---|---|---|
| P001 | 10 | 12 | Changed |
| P002 | 5 | Absent | Removed |
| P003 | Absent | 7 | Added |
| P004 | 2 | 2 | Unchanged |
The report counts 1 changed, 1 removed, 1 added, and 1 unchanged row. Changed Details shows P001 changing from 10 to 12. Swapping A and B reverses additions, removals, and old/new values.
How differences are classified
- In key mode, a record found only in B is added; one found only in A is removed. A matched pair is changed when an enabled mapped field differs.
- Comparison preserves case and leading/trailing spaces by default. Ignore-case, trim, and full-width/half-width normalization can be enabled separately for keys and values.
- Number 123 and text "123" are different types. Formula expressions are compared by default; turn this off to compare saved results only.
- Duplicate nonempty keys stop key-mode comparison. All-empty keys go to Unmatched A or Unmatched B. Review column mappings and select fields before running.
Comparison limits to know
- Each file must be 10 MiB or smaller. A worksheet range is limited to 100,000 rows, 200 columns, and 1,000,000 cells; selected tables are limited to 2,000,000 cells per task.
- One worksheet from each file is compared per run. Fonts, fill colors, layout, charts, and macros are not compared. Unmerge cells in the header and data area first.
- Formulas are not recalculated. Recalculate and save the workbook in Excel if cached formula results are missing.
- The on-page preview and Redline Preview sheet show at most 100 rows per category. Detail sheets contain report records within export limits; more than 100,000 changed-cell details blocks export.

Excel comparison FAQ
How are rows matched?
Unchanged rows and shared fields align rows automatically without an ID. Use key columns when a stable ID is available.
What if a key is duplicated?
Key mode stops and shows sample row numbers. Add a key column or remove duplicates; automatic alignment does not need a unique key.
What happens to empty keys?
Key mode lists rows with all-empty keys as unmatched. Automatic alignment uses row content instead.
Does row position detect moves?
No. Inserting a row can make later rows appear changed. Automatic alignment can use unchanged surrounding rows.
Are formulas calculated?
No. Saved results are used, and formula expressions can also be compared. Missing saved results block the report.
Are files uploaded?
No. The comparison runs in your browser and produces a new XLSX report.
Is this Excel comparison tool free?
Yes. Compare XLSX or XLS files and download an XLSX report without an account or installation. The comparison runs locally in your browser.
Can I compare sheets with different column names or orders?
Yes. Review and adjust the column mappings before comparison and choose which mapped fields to include. In key mode, map the corresponding ID columns on both sides.
Can I compare every worksheet or detect formatting changes?
Each run compares one selected worksheet from each file. The tool compares cell values, types, and optionally formula expressions; it does not compare fonts, colors, charts, macros, or workbook layout.
